Shopify Store Operations Toolkit | Orders & Inventory

About This Guide

Make Your Next Store Review Easier to Explain

A sales total, a stock count and an unresolved order each tell a different story. When they sit in separate exports and messages, a review can end with more questions than decisions. This toolkit gives a hands-on store team a consistent place to bring those records together. Start with dated source files, map the relevant fields and keep the reason for each follow-up visible. A retained working copy also lets the next reviewer see which export and assumptions supported an earlier discussion.

Look Past Revenue to Entered Contribution

The Orders sheet separates gross product sales, discounts, positive product refunds and retained shipping from fees, product cost and fulfilment cost. Its contribution calculation helps you inspect the result of those entered amounts. Tax collected stays separate. That distinction makes the review more useful than treating every sales receipt as money earned, while keeping overhead and other missing costs outside the result clearly acknowledged.

Give Stock States Their Proper Place

A shelf count alone does not tell you what is available. The Inventory sheet subtracts committed and unavailable quantities from on-hand stock for each SKU and location. Compare that result with your chosen reorder threshold and investigate the underlying records before acting. Incoming stock stays outside available quantities until received. This is a documented snapshot you maintain, with the source and timing chosen deliberately.

Keep Exceptions Connected to People and Evidence

The Exceptions sheet records an order reference, issue, owner, due date, status and resolution evidence. Use it to make a handover specific: what needs attention, who will follow up and what would demonstrate resolution. The record supports a working conversation without pretending that entering a status updates the store. Check the actual order and complete any customer or fulfilment action in the appropriate system.

Read Marketing Ratios With Context

Campaigns calculates ROAS from attributed revenue and spend, and cost per order from spend and the entered order count. Keep matching periods and attribution settings beside the interpretation. A ratio can prompt a useful question without proving incremental sales or profit. The planning worksheet provides space for those limits alongside source exports, field mapping, reconciliation questions and the next operational actions.

Choose a Repeatable Manual Routine

The bundle combines an Excel workbook, fillable review PDFs, editable HTML notes and setup guides. A customer revision adds checks that hold affected calculations when required inputs are incomplete or invalid. Keep a clean master, replace fictional examples and retain your dated evidence. This independent Better Guides resource is for deliberate manual review; it does not install an app, import reports, synchronise Shopify or replace accounting and stock-control systems.

What’s Inside

An Order Record With Separate Cost Fields

Orders records a unique order ID, gross product sales, discounts, product refunds, shipping retained, tax collected, fees, product cost and fulfilment cost. Calculated net sales exclude entered tax; contribution subtracts the recorded costs. Negative outcomes remain visible. This is a scoped operating measure, not net profit, a tax return or a full accounting statement.

Stock Availability and a Manual Threshold

Inventory records a SKU/location key and separate on-hand, committed, unavailable and reorder-threshold inputs. Available units and a simple threshold comparison calculate from them. Signed on-hand and negative available balances remain visible for review. There is no demand forecast, purchase order, incoming-stock feed or automatic stock adjustment. Check physical counts and the relevant store records separately.

A Fulfilment Exception Handover

Exceptions keeps the order reference, issue, owner, due date, status and resolution evidence together. It is a manual work log. Its headline counts entered references rather than proving that issues are complete, resolved or on time. Match references to the actual order and maintain follow-up outside the workbook; no reminders or customer messages are sent.

A Campaign Ratio Review

Campaigns takes your label, ad spend, platform-attributed revenue and order count. It calculates ROAS and cost per order with defined zero-denominator handling. Required numeric inputs are checked before a ratio appears. Align reporting windows yourself, and interpret results alongside costs and attribution settings. There is no automatic campaign connection, profitability score or proof of incremental revenue.

Planning Notes in Two Useful Formats

A4 and US Letter fillable PDF worksheets organise period and export sources, field mapping and currency, order reconciliation, inventory, exceptions, attribution limits and next actions. The same review headings appear in editable HTML. Save and reopen completed PDF notes; fields do not calculate. HTML text requires an appropriate editor, rather than a built-in online document application.

Setup and Customer Revision Notes

A4 and US Letter setup guides accompany the workbook and planning notes. START HERE explains the input safeguards, calculation scope and fictional examples. Prepared tables have fixed capacity; extra rows are not included automatically. The bundle supplies XLSX rather than a native Google Sheet, and contains no AI prompt master. Native spreadsheet compatibility and printing still need checking in your environment. Keep the original source exports privately so changes in your working record can be traced and explained.

Who It’s For

  • Independent Store Owners — Bring dated exports into a consistent review when you handle orders, stock and costs yourself. Use the workbook to identify the next question and keep the relevant evidence beside your decision rather than relying on a headline sales figure.
  • Operations Assistants — Prepare a clearer handover with an order reference, issue, owner, due date and resolution evidence. The manual record helps make responsibilities explicit while actual order changes and customer communication remain in the appropriate store systems.
  • Stock Coordinators — Separate on-hand quantities from committed and unavailable stock for each SKU and location. Review threshold flags against current counts and source records before arranging replenishment; the toolkit does not forecast demand or create purchase orders.
  • Marketing Coordinators — Record campaign spend, attributed revenue and order counts within a consistent window. Use the ratios to frame a review, while keeping attribution differences, unentered costs and the limits of a sales comparison visible.
  • Small Teams — Agree on fields and reporting scope before passing a file between colleagues. Keep a clean master and private dated working copies. This is suited to teams comfortable entering information manually, rather than those seeking live integrations or automatic report imports.

Frequently Asked Questions

Does this connect to my Shopify store automatically?

No. This is an independent Excel-based manual toolkit. Export the relevant reports yourself, map the fields and reconcile the records. It does not install a Shopify app, import data, synchronise stock or update orders. No Shopify affiliation or endorsement is claimed.

What files do I receive?

Your download includes an XLSX workbook, A4 and US Letter setup guides, A4 and US Letter fillable planning worksheets, editable HTML review headings and START HERE. The customer revision includes calculation-input safeguards. There is no native Google Sheet or AI prompt pack.

Does contribution mean my store’s net profit?

No. Orders calculates gross product sales less discounts and positive product refunds, plus retained shipping, then subtracts entered fees, product cost and fulfilment cost. Entered tax is excluded. Overhead, income tax and unentered expenses are not calculated, so contribution is not net profit or a formal profit-and-loss statement.

How is available inventory calculated?

Available equals on hand minus committed minus unavailable for each entered SKU/location key. Incoming stock is excluded until received and reflected in your records. The action compares this balance with your chosen threshold; it does not forecast demand, recommend a purchase quantity or place orders.

What happens if inputs are missing or duplicated?

Required calculation inputs are checked in the customer revision. Affected used rows show Check inputs when incomplete or invalid; duplicate order IDs and SKU/location keys are flagged. Orders and Inventory headlines wait on those flagged rows. Campaign and Exception record counts still count labels, rather than validating complete or unique business events.

Does the Exceptions sheet send reminders or resolve orders?

No. It records your order reference, issue, owner, due date, status and resolution evidence manually. Its headline counts entered references. Check linked orders and actual resolution yourself; the workbook sends no alerts, customer messages or store updates.

Do ROAS and cost per order prove campaign profitability?

No. They use the spend, platform-attributed revenue and order counts you enter. Zero spend makes ROAS n.a.; zero orders makes cost per order n.a. Match attribution settings and reporting windows manually. These ratios do not prove incremental sales or account for every cost.

Can I edit the files and reuse them for my business?

Yes, within the internal-use licence. Keep a clean master, replace fictional examples and make private dated working copies. The PDFs have saveable note fields; HTML needs an appropriate editor. Do not resell source templates. Native Excel, spreadsheet import and printing compatibility need checking in your environment.
